As an accountant, one of your prime responsibilities is to manage your client’s financial information, and once it’s breached, then it could spell danger for your firm. Like the two sides of a coin, an evolving technology can always become a friend or foe, as there would be applications that can lessen the company’s manual burdens, but of course since you’re using data with those applications, there would also be newer ways on how someone can steal your firm’s most confidential data.



The only thing that you can do is to have ways on keeping your data protected. Here are 5 basic tips on how to secure your information from unwanted infiltration.

1. Turning Off your Computer



This is the starting point in protecting your personal or financial data. Never forget to turn off your computer once you ended your shift or when you’re not using it, so that no one would be able to take a peek at your desktop and steal information.

The good thing is that most computers as of today have power user options where you can set passwords to protect your desktop. Once your computer is off, even if someone dares to opens your PC, he/she will still have to enter a power user login, which is something that only you have, since power user logins are provided by the company itself.

2. Backup your Data



You should always make a backup of your data, so that once something wrong happens with your device, you’re assured that your precious files are in a safe place. A device, once broken can be repaired, but of course all your files would be wiped out once it’s rebooted.

You can save your files with the help of storage devices like USB flash drives or external hard drives. Furthermore, there are some cloud applications out there which have options on backing up your data, and it also allows you to easily access your files since it’s in the cloud.

3. Securing your Password

Another basic yet effective step on securing your information is with the help of creating passwords. First things first, don’t use the same password in all your accounts. It would be better that each account of yours has its own password.
Remember to change your password regularly to avoid being infiltrated by hackers who wants to steal your data. In creating passwords, you should consider using long words instead of short ones which can be described as weak passwords.

Use long words with combined letters and numbers so that hackers can’t easily distinguish your password. In addition to that, you can also use two-step authentication so that you can ensure the protection of the sensitive information that you have.

Another thing, do not use your SSN, birthdate, or other personal information as password for your files; and of course, be careful with the people around you that you would share passwords with.

4. Protect your Data with Encryption

Encryption is considered as one of the best ways of protecting information. For this process, all you need is a data encryption software which can insert passwords on your file and that’s it. There are many data encryption softwares in the internet that you could use to protect your data, some cloud applications also offer data encryption for files that are stored in their system.

5. Install Anti-Malware Programs in Your Device

Malwares are viruses which can harm your device whether it’s your desktop, laptop or even mobile. Not only there are possibilities that your device might be damaged and not work properly after a malware attack, but it can also corrupt your files.

To avoid any serious damages, make sure you had installed anti-virus protection software which can detect and clean incoming viruses. Firewalls can also help, since it tracks any suspicious malware and blocks away viruses from entering your device.
